Job Description:
As an Intermediate Executive Administrative Assistant, you will support senior management by handling a wide range of administrative and general support duties of a highly responsible and confidential nature. This role requires broad knowledge of organizational policies and practices and involves managing multiple administrative situations under general supervision.
Responsibilities:
- Prepare confidential correspondence, reports, meeting notices, presentation materials, and other documents using word processing, spreadsheets, graphics, and desktop publishing software.
- Compile information and prepare special or one-time reports, summaries, or replies to inquiries by selecting relevant information from various sources.
- Act as a liaison between senior management and various internal and external parties, including employees, clients, and other stakeholders.
- Screen telephone calls, providing assistance and accurate information, and route non-routine calls appropriately.
- Maintain calendars, schedule meetings, and make travel arrangements.
- Determine methods and procedures to resolve complex inquiries and make priority decisions as needed.
- Generate and maintain confidential files and handle details of a confidential nature.
- Operate with substantial latitude for independent judgment and discretion.
- May supervise or train other administrative personnel.
Requirements:
- High school diploma or equivalent.
- Minimum of 3-5 years of high-level administrative experience, demonstrating discretion and technical skills.
- Advanced knowledge of company and organizational structure, particularly within the division and departments.
- Excellent verbal and written communication skills.
- High level of analytical skills.
Preferred Qualifications:
- Associate's or Bachelor's degree.
- Experience supporting C-suite executives.
- Proficiency in Microsoft Office Suite.
- Experience with expense reporting systems (e.g., Concur).
